Terms of Service
Last updated June 30, 2026 · Effective June 30, 2026
These Terms govern your access to and use of ReqPub, the requirements discovery and publishing platform provided by [ReqPub, Inc.] (“ReqPub,” “we,” “us”). By using ReqPub you agree to these Terms.
1. Acceptance of these Terms
By creating an account, accessing, or using ReqPub, you agree to be bound by these Terms and by our Privacy Statement and Acceptable Use Policy, which are incorporated by reference. If you are entering into these Terms on behalf of an organization, you represent that you are authorized to bind that organization, and “you” refers to that organization. If you do not agree, do not use ReqPub.
2. Definitions
Because ReqPub is organized around roles, these Terms use the following terms:
| Term | Meaning |
|---|---|
| Organization | A workspace that owns documents, members, and settings. All documents belong to the Organization, not to an individual. |
| Manager | An internal member who can create, edit, manage, and publish documents and administer members and Partners. |
| Viewer | An internal member with read-only access across the Organization’s documents, feedback, and notes. |
| Partner | An external collaborator with an account who can view the SME version of the documents assigned to them and submit notes. |
| SME / Reviewer | An external subject-matter expert or reviewer who accesses a specific shared document or notes form through a link, without an account. |
| Content | Requirements documents, notes, discovery records, feedback, and other material submitted to or generated within ReqPub. |
3. Accounts and eligibility
You must provide accurate information and keep your credentials secure. You are responsible for activity under your account. You must be at least [16] years old, or the age of digital consent in your jurisdiction, to use ReqPub. Notify us promptly at [security@reqpub.example] of any unauthorized use.
4. Organizations, roles, and permissions
ReqPub assigns capabilities by role. Managers control the Organization, including inviting members, setting roles, creating Partners, and assigning which documents a Partner may see. Viewers may read but not modify. Partners and SMEs receive only the curated “SME version” of a document and may submit notes; they do not receive internal requirement detail. You are responsible for assigning roles appropriately and for the actions of the members and collaborators you invite. We are not responsible for a member’s or collaborator’s misuse of access you grant them.
5. Acceptable use
You agree not to misuse ReqPub. Prohibited conduct is described in our Acceptable Use Policy and includes, without limitation, unlawful activity, infringing others’ rights, attempting to breach security or access controls, interfering with the service, or uploading malware. We may suspend or remove Content or access that violates these Terms.
6. Your Content and ownership
As between you and ReqPub, you retain all rights to your Content. You grant us a worldwide, non-exclusive, royalty-free license to host, store, process, transmit, and display your Content solely to operate and improve the service for you and the people you authorize. You represent that you have the rights necessary to submit your Content and that it does not violate law or third-party rights. You are responsible for maintaining your own backups of important Content.
7. Shared and curated views
ReqPub lets you publish curated, “SME version” views and notes forms to external recipients. These views are designed to exclude internal requirement detail and internal notes. However, you are responsible for what you choose to share and with whom, and for revoking links when appropriate. We do not guarantee that any recipient will keep shared material confidential; use ReqPub’s controls and your own agreements (such as NDAs) where confidentiality matters.
8. Privacy
Our handling of personal information is described in the Privacy Statement. By using ReqPub you acknowledge that processing. Where you act as a controller of personal data you upload, you are responsible for having a lawful basis and appropriate notices for that data.
9. Third-party services
ReqPub relies on third-party infrastructure providers (for example, our database and hosting providers) to deliver the service. Your use may be subject to those providers’ terms. We are not responsible for third-party services we do not control, and links to third-party sites are provided for convenience only.
10. Plans and fees
[If ReqPub offers paid plans:] Fees, billing cycles, and refund terms for any paid plan will be described at the point of purchase and are incorporated here. Unless stated otherwise, fees are non-refundable and exclusive of taxes. We may change pricing prospectively with reasonable notice. [If ReqPub is currently free, state that here.]
11. Suspension and termination
You may stop using ReqPub at any time. We may suspend or terminate access if you materially breach these Terms, create risk or legal exposure, or for prolonged inactivity, with notice where practicable. On termination, your right to use the service ends; we may delete Content after a reasonable retention period described in the Privacy Statement. Sections intended to survive termination (including ownership, disclaimers, liability limits, and indemnification) will survive.
12. Disclaimers
ReqPub is provided “as is” and “as available,” without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, secure, or error-free, or that Content will be preserved without loss. ReqPub helps you organize requirements; it does not provide legal, compliance, or professional advice.
13. Limitation of liability
To the maximum extent permitted by law, ReqPub and its suppliers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenues, data, or goodwill. Our total liability arising out of or relating to these Terms or the service will not exceed the greater of [the amounts you paid to ReqPub in the 12 months before the claim] or [USD $100]. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.
14. Indemnification
You agree to indemnify and hold harmless ReqPub from claims, damages, and expenses (including reasonable legal fees) arising out of your Content, your use of the service, your violation of these Terms, or your violation of any law or third-party right.
15. Changes to the service and these Terms
We may modify the service and update these Terms from time to time. If we make material changes, we will provide reasonable notice (for example, by posting the updated Terms with a new “Last updated” date or notifying you in-product). Your continued use after changes take effect constitutes acceptance.
16. Governing law and disputes
These Terms are governed by the laws of [State/Country], without regard to conflict-of-law rules. The parties submit to the exclusive jurisdiction of the courts located in [venue], except that either party may seek injunctive relief where appropriate. [Add arbitration or class-action waiver clauses only after counsel review, where enforceable.]
